Administrative Support

We are seeking a full-time Administrative Support that will provide professional administrative support primarily for Human Resources and other departments as needed to facilitate and ensure efficient operations for the organization. The administrative assistant position requires excellent organizational skills, ability to prioritize multiple tasks and handle sensitive information confidentially. Must be proficient using Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint.

In addition, it is expected that the Administrative Support:

  • Organize, compile and update company personnel records and documentation which include filing paperwork, recording data on each current, terminated or exiting employee.
  • Update and maintain human resources and related databases with required employee information.
  • Organize paperwork and documentation required for new employee orientation, onboarding, and staff training programs.
  • Maintains the Human Resources filing system, both hard copy and electronic.
  • Reviews, edits and formats draft and finalized materials ensuring completeness and accuracy.

Fill-in Staff

We are currently recruiting for Fill-in positions.

The Fill-in position at Vista is an employee who is not assigned a regular number of hours per week, but works hours needed by Vista as a substitute for a regularly scheduled employee or for additional assignments. Fill-in employees must work a minimum of 20 hours per month to maintain employment with Vista.

Fill-in staff must be flexible to work any assigned site and work within a variety of settings, including in Vista student and members’ homes, on Vista campuses and within the community. Under the direction of a Management Team Member/Supervisor, fill-in staff provide support and assist in staffing all direct service needs as well as administrative needs. Specific hours vary to accommodate the programmatic and administrative needs within Vista.

Successful Fill-in candidates must have:

  • Knowledge in disability issues.
  • Basic skills instruction and counseling.
  • Strong verbal and written communication skills.
  • Ability to work successfully in both a one-to-one basis and group setting with students/members.

Life Skills Instructor

We are currently seeking Full-time and Part-time Life Skills Instructors.

The successful Life Skills Instructor candidates must be able to work in partnership with others to implement systems that support Vista students/members independent living needs. Candidate must be able to teach, evaluate, problem solve and implement compensatory strategies. The successful candidate must be able and willing to work with students/members in a variety of settings including within the Vista campus and the community.

The Life Skills Instructor will mainly be working within Vista students/members homes and throughout the shoreline towns in south central Connecticut. Life Skills services include household, time, food, medication and money management as well as self-care, community integration, health, safety, and companion services. The Life Skills Instructor must have a general knowledge of how to perform basic life skills related tasks such as cooking, money management and cleaning.

Successful candidates must:

  • Role model good social skills, leadership skills, communication skills, conflict resolution skills and problem solving skills.
  • Provide consistent and quality instruction.
  • Train and teach students/members a variety of skills according to the individual needs.

Organizational Communications Coordinator

We are seeking an Organizational Communications Coordinator.

This is a full-time position reporting to the Director of Organizational Development. The Organizational Communications Coordinator is responsible for supporting the coordination and execution of communications efforts for the organization. Develop and implement internal and external communications that includes website content, press releases, identified grant submissions, email messaging, newsletters and other organizational initiatives.

The successful candidate will help create promotional materials, contribute to the development of content of the organizational websites, and oversee specific database management. Interact with community members, colleagues, families, and students and members to effectively deliver our company’s message to constituents and the public. Exercises sound judgment when communicating with internal and/or external community partners. Utilize creativity to produce effective and successful communication.

In addition, the successful candidate must:

  • Have a strong working knowledge of technology and social media, including database management and content management.
  • Manage, and maintain accurate records for the constituent management system and online fundraising platform.
  • Coordinate communications efforts through writing organizational and industry related content, press releases and website articles.
  • Assist with social media presence, website content, and electronic communications.
  • Assist in the development and production of high-quality materials including invitations, flyers, videos, digital content, and presentations.

Program Coordinator

The Discover Program at Vista is a transitional education program in a supported campus setting in Westbrook, CT.   We provide two structures; on-campus Dormitory & Residence Hall and off-campus Transition Apartments. 

The Program Coordinator must have a strong knowledge and understanding of disability issues, counseling techniques and ability to evaluate and create systems, and implement curriculum of the Discover Program in a dormitory setting.  This is a great opportunity to impact students/members by utilizing strong leadership and communication skills. 

The Program Coordinator must be able to: 

  • Implement program curriculum across functional skills areas to assist students/members with gaining independence in life skills, community integration and social/cognitive areas. 
  • Evaluate a student/member's progress and provide appropriate training interventions.
  • Develop goals and action steps and ensure implementation of these actions in day to day instruction. 
  • Act as a peer mentor in providing guidance and support to peers regarding the organization's culture, mission, goals and their position's specific responsibilities. Independently develop creative solutions as necessary. 
  • Proactively problem solve various situations as they occur or they are foreseen. 
  • Enhance system development and documentation quality by utilizing technology.
  • Oversee and monitor medication systems within the dormitory setting.

  • Be an effective ambassador to external and internal constituents.

Quality of Life Instructor (Recreation)

We are currently seeking a Recreation Instructor, known at Vista as a Quality of Life Instructor.

The successful Quality of Life Instructor candidate must be able to work in partnership with others to facilitate Recreation services including but not limited to recreational activities, physical fitness/sports, meal prep, and transportation supports while displaying a positive and professional demeanor.

 

Successful Quality of Life Instructor candidate must:

  • Demonstrate proficiency in meal preparation skills and the ability to facilitate activities in a group setting
  • Have good time management skills and the ability to be flexible and organized.
  • Plan and lead recreational group activities and community outings.
  • Develop, plan and lead ongoing and new clubs throughout the year.
  • Plan and lead ongoing sports activities including but not limited to basketball, softball, and soccer.
  • Support students/members in accessing the community wellness facilities and assist them in reaching their wellness goals.
  • Plan and cook family-style meals in a group setting while encouraging peer-to-peer socialization.
  • Exhibit creativity in facilitating the engagement of students/members in Quality of Life services.
  • Attend monthly team meetings and proactively communicates the strengths and areas that need improvement.
  • Communicate necessary information to the team of staff for each student/member assigned to their caseload.
  • Use identified assistive technology to assist students with independence.
  • Complete all necessary documentation utilizing the computer and applicable systems so all systems run smoothly and timely.

Vice President of Finance and Operations

Vista is currently recruiting for a Vice President of Finance and Operations. 

The Vice President of Finance and Operations is responsible for oversight and management of all fiscal operations, assurance and regulatory compliance, corporate compliance and other departments assigned, including information technology, facilities, housing and human resources. Reporting directly to the Chief Executive Officer (CEO), this position is part of a senior leadership team that continuously engages in assessing, planning and implementing major strategic initiatives of the organization and is accountable for company performance in assigned areas. He/she is responsible for financial reports, company audits, and bank relationships. The VP is responsible for directing the fiscal functions of the organization in accordance with GAAP. In addition, the VP provides information and consultation to the Board of Directors on annual budget, fiscal activities and policies and the direction of financing strategies.

The VP must have a mission-driven approach to financial strategy, planning and analysis. He/she will collaborate with key management team to make decisions regarding Vista’s financial strategy and operations. All candidates must have managerial and finance experience with a human services/social services organization.

JOB RESPONSIBILITIES

Responsibilities include but are not limited to providing leadership, oversight and guidance for the corporate, regulatory, infrastructure and financial viability of Vista by establishing, implementing and overseeing strategic initiatives and monitoring financial plans and budgets as outlined in the strategic plan

  • Assess organizational performance against both the annual budget and Vista’s short and long-term strategic goals and objectives.
  • Complete analysis of financial results based on revenue forecasts, monthly management reports, budget, and Board reports.
  • Develop and utilize forward-looking, predictive models and activity based financial analysis to provide insight into the organizations operations and business plans.
  • Oversee cash flow planning and ensure availability of funds as needed.
  • Ensures the financial activities and investment practices of Vista according to sound business practices,
  • Develop strategic and tactical plans/recommendations for assigned area.
  • Participate in key decisions pertaining to strategic initiatives, operating model and operational execution.
  • Establish and maintain sound financial controls and record keeping. Approve financial expenditures up to level established by CEO.
  • Oversee audits and proper filing of tax returns.
  • Ensure regulatory and corporate compliance regarding all financial functions; keep abreast of government regulatory requirements and rapidly changing reimbursement environment to develop and implement changes to policies and procedures as needed.

QUALIFICATIONS

Education:

  • MBA, or Masters in Accounting, Finance, Non-Profit Administration

Experience:

  • Must have 7-10 years progressively responsible managerial/leadership experience at the director or vice president level with nonprofit human services or social services organization
  • Must have experience in nonprofit accounting and finances.
  • Demonstrable experience working with information technology.
